The Challenge
Like many independent schools, Star of the Sea previously relied on multiple disconnected systems including Pastel for finances alongside manual processes, spreadsheets, and paper-based communication. This led to:
β Duplication of effort across admin, finance, and reporting teams.
β Time-consuming monthly reconciliations and end-of-term reporting (e.g., the WCED 043-Form).
β Delayed fee collections, as statements were issued infrequently and payments weren't always visible in real time.
β High costs for multiple software licenses and printing/paper.
Principal Mr. Alfonso Pereira and Finance/Secretary Andrea Felton sought a more integrated, efficient, and parent-friendly solution.
π‘The Solution: Rise School Management
At the end of 2020, the school switched to Rise, a comprehensive cloud-based platform combining finances, administration, communication (via the Rise Communicator app), and reporting in one user-friendly system.
Key features embraced by the school include:
β Real-time bank feeds and easy reconciliation.
β Automated billing and statements emailed or viewable instantly on the parent app.
β Live fee balances and payment history visible to parents.
β Automated WCED 043-Form generation at the click of a button.
β Integrated communicator for news, events, alerts, and incidents which reduces paper use dramatically.
β Budget vs. actual tracking and detailed income/expense reports.
The Results
The impact has been significant and measurable:
β Improved Fee Collection: Parents receive timely reminders and can view up-to-date statements and payment history on the app. Mr. Pereira noted this was "one of the most important things," resulting in a larger portion of fees collected on time β without constant chasing. For the first time, the school wasn't "fighting with parents for fees."
β Time Savings: Dramatic reduction in admin workload. The 043-Form, previously requiring a full day of manual compilation from papers and multiple sources, is now generated instantly. Overall, the unified system saves substantial hours per term.
β Cost Savings: By consolidating from three systems into one, the school achieved meaningful financial savings β enough to hire an IT teacher.
β Accuracy and Transparency: Bank-integrated transactions, easy receipt, and personalized chart of accounts have made finances more accurate and auditable. β Better Parent Engagement: High adoption of the Communicator app (approaching 98% in similar cases), with parents receiving push notifications, viewing events, and responding in real time.
β Staff Satisfaction: Andrea Felton highlighted the ease compared to Pastel, especially for bank reconciliations and reporting.
